Open online registration
Let players request their own account from your homepage: you choose which subscriptions are open for registration, what the form contains, and how requests are approved.
Enable registration for a subscription
- Go to Administration›Users›Online Sign-ups. Click Settings.
- Under Enable / Disable Online Sign-ups, enable the subscriptions you want. If several subscriptions are open, the player chooses one during registration.
- Click Open the form to check the display. It is accessible from your homepage.
Each subscription also has its own registration settings in its Sign Ups tab. This is the right level for differentiating your plans: adults register with automatic approval, while the tennis school uses manual approval with a mandatory medical certificate.
Choose the approval mode
In the subscription’s Sign Ups tab, the Validation Mode determines how the account is activated:
- Manual Validation: a manager accepts each request.
- Automatic validation: the account is activated as soon as the player has verified their e-mail address.
- Validation after payment: the account is activated once the subscription has been paid online, if Payments & Billing is active for the subscription.
Build the form and filter requests
In the registration settings:
- Form Fields: select the information requested, such as contact details, date of birth, license, or ranking.
- Required Attachments: require a medical certificate, proof of address, or identity document during registration.
- Message on the form: display your instructions at the top of the form.
- Filter E-mail Addresses (Domain Name): accept only certain domains, for example a university that limits registration to its students.
- Prohibit disposable or anonymous e-mail addresses: block temporary addresses.
Assign profile, groups, and credits at registration
Still in the subscription’s Sign Ups tab:
- Associated Profile: the profile automatically configured on the new registrant’s record.
- Add new subscribers to a group: automatic assignment to one or more groups.
- Add booking credits after registration and Add invitations after registration: credit the account as soon as it is created.
- Email Notifications: up to 4 club addresses notified for each request.
Process requests
The player fills in the form, then confirms their address by entering a verification code received by e-mail. The request then appears in Administration›Users›Online Sign-ups:
- Open the request to check the information and attachments.
- If there is a Risk of Duplicate, select the corresponding user from the suggested list. Accept will then send them their login details without creating a second account.
- Click Accept. The account is created and the login details are sent by e-mail. Otherwise, click Decline.
Duplicate matching is worth doing: a player who registers online when they already have an account has almost always lost their login details. Accepting without matching creates a second account, and their booking history is split in two.
Collect payment for a paid registration
When the subscription is sold online, the request includes the amount and the order reference.
- If the player paid on site, by check, or by bank transfer, tick Validate payment. Then choose the Payment Method: the order is marked as paid and the invoice is generated.
- If you leave the box unticked, access is granted immediately and the payment remains to be collected later.
Pending requests are listed by name in activity reports. This is the safety net when several people administer the club without having divided up the task.
