Schedule time slots by periods and subscriptions

Advanced schedules determine, time slot by time slot, what is allowed or blocked for booking depending on periods (holidays, non-holiday periods, public holidays) and subscription plans.


Understand the principle

A schedule is a grid covering all your calendars: each time slot on each day of the week is either allowed or blocked. You create as many schedules as needed, then assign them to subscription plans, with dated periods if necessary. Each user is then assigned the schedule that matches their subscription and the current date.


Create a schedule

  1. Go to AdministrationSettingsBookingAdvanced Planning.
  2. Click New.
  3. Fill in the Name & Color field, for example with the name of the relevant audience.
  4. If needed, enter a Text on Forbidden Time Slots: it will appear on the calendars instead of inaccessible time slots (for example Unavailable or the name of another entity).
  5. Click the grid cells to switch each time slot between allowed (green) and blocked (red). You can also hold the click and drag to process several time slots at once, or use Allow All and Deny All by day or by calendar.
  6. Click Save.

Assign schedules to subscriptions and periods

  1. Go to AdministrationUsersAccess RightsSubscriptions.
  2. Open the relevant plan, then the Permissions tab.
  3. Enable the Advanced Planning option.
  4. Select the Default Planning, applied outside any dated period.
  5. Click Add a Schedule to link a different schedule to a dated period, for example school holidays.
  6. Click Save.

This is how you manage seasonality: one schedule for school periods, another for holidays, each activated automatically on its dates. You prepare the whole year once, and no one has to remember to open or close time slots on the Monday when school starts again.


Choose between scheduling and closing time slots

Both tools draw a grid of time slots, but they do not answer the same question.

  • The time slot closure padlock closes a time slot for everyone, with no concept of date or subscription.
  • An advanced schedule depends on who is viewing it and when: the same Tuesday 6 pm time slot can be open to competitive players, closed to recreational players, and open to everyone during the holidays.

Remember the simple rule: if the answer is the same for all your subscribers, use the padlock; if you need to distinguish between audiences or periods, use a schedule.


Share your courts with another entity

Example: your courts are shared between the club and the town hall. Create a Club schedule where the time slots allocated to the town hall are blocked, with the text Town Hall on the relevant time slots. Assign it to your users’ subscription plans: they immediately see which time slots are reserved for them, and who the others are allocated to.
