Import and export users

Build or update your database in just a few minutes: quick entry, Excel/CSV file import with column matching, customizable export, and ADOC synchronization for French clubs.


Add a few users quickly

  1. Go to AdministrationUsersImport / ExportQuick Create.
  2. Fill in one row per user: last name, first name, e-mail, phone number. Click Add a line if needed.
  3. Enable Send login credentials by e-mail to automatically send the login ID and password.
  4. Click Save.

Login credentials are generated according to your default password settings. The assigned profile and subscription are the ones defined by default in the advanced settings. Check them before your first entry, as they will apply to all accounts created afterward.


Import an Excel or CSV file

The import takes place in five steps, and you can go back on each screen:

  1. Drop your file (.xls, .xlsx, or .csv) into AdministrationUsersImport / ExportImport a File.
  2. File Analysis: check that accents and dates are interpreted correctly. This is the right time to correct an incorrectly encoded file, before errors are carried over.
  3. Column Configuration: match each column to a field (subscription, groups, license, credits, custom fields, etc.). Detection is automatic based on the first row. Clear the columns you do not want. Only the last name and first name are required.
  4. Preview: warnings do not prevent the import. The affected cells use the default value.
  5. Start the import, then review the report line by line: Added, Updated, or Error, with Credentials sent shown where applicable. Download the report saves a copy.

Understand how import avoids duplicates

Each row is matched against your database in this order: by login ID if your file contains this column, otherwise by last name and first name. If a match is found, an update is triggered. Otherwise, an account is created.

Matching by last name and first name is sensitive to spelling: “Jean-Pierre Martin” and “Jean Pierre Martin” will create two accounts. Add a login ID column to your file whenever you update an existing database.

An import cannot modify a record that your profile does not allow you to manage: these rows appear as errors in the report, without being applied.

Login ID and password are generated automatically for new users, unless your file contains columns dedicated to these values.

Export your database

  1. Go to AdministrationUsersImport / ExportExport a File.
  2. Select and organize the columns to export.
  3. If needed, restrict the exported users with Filters: subscription, profile, group, status.
  4. Click Preview, then Export (.xls) to download the file.

With Create a Template, save your column configuration so you can retrieve it in one click for a future export.

Create one template per use case: a “finance” export with the subscription and its payment status, a “federation” export with licenses and rankings, or a “contacts” export limited to contact details. Each one can then be run again without reconfiguration.

Synchronize with ADOC (FFT)

French clubs affiliated with the FFT can synchronize their license holders from AdministrationUsersImport / ExportADOC Sync (FFT) in two ways:

  • Direct connection: enter the affiliation number and your ADOC credentials, then click Log In.
  • File upload: drop the export.xls file downloaded from ADOC.

Then match the ADOC plans to your subscriptions, select the license holders, and click Sync. The Download the report button details the additions and updates made.

The mapping between ADOC plans and subscriptions requires special attention: it determines the booking rights of the imported license holders. Create your subscriptions before the first synchronization.


Automate data exchanges

Import and export cover one-off, manual needs. If your club needs to continuously synchronize its database with another software application, the API exposes the same data programmatically — and also lets you create and modify accounts.
