Sell subscriptions online

Let your users subscribe and renew their subscription themselves, with immediate payment and automatic assignment of rights. There are two ways to sell them: by duration or by season.


Know where sales are configured

Putting a subscription on sale is not configured from the product catalog. It is configured from the subscription record itself.

  1. Go to AdministrationUsersAccess RightsSubscriptions and open the relevant subscription.
  2. In the General tab, enable the Payments & Billing section.
  3. The corresponding product is created automatically.

Once created, this product appears in AdministrationSettingsBillingProducts & Services and remains editable from both places.

A subscription can only be sold through an active billing account, with at least one online payment collection method. Without a configured payment gateway, the section has no visible effect for the user.

Choose between rolling duration and fixed cycles

The Duration Mode is the key structural decision. Everything else depends on it, and changing it later means reconfiguring the plans.

  • Slippery: the period starts on the day of purchase. You sell “three months” or “one year”, without a calendar date.
  • Fixed Cycles: you sell dated periods that are the same for everyone. You sell “the 2026-2027 season”, from September 1 to August 31.

Ask yourself one question: should two people who buy two months apart see their subscription end on the same day?

  • Yes: fixed cycles. This is the case for a club whose activity follows a sports season, with an annual general meeting, a restart date, and aligned licences.
  • No: rolling. This is the case for a facility that welcomes users throughout the year, where everyone pays for twelve months from the day they sign up.
An affiliated tennis club almost always sells in fixed cycles, to match the federation season. A commercial padel facility is more likely to sell on a rolling basis, because there is no reason to charge someone who signs up in June less.

Configure a rolling duration

Under Proposed durations for purchase, each row is a plan: a Label, a Duration in months, and a Price. Click Add a duration to offer several options, and the user chooses at purchase.

A three-row grid is enough in most cases:

The decreasing price is not calculated for you. You need to make the longer plan more attractive, otherwise no one will choose it.

Two behaviours are worth knowing, because they help avoid complaints:

  • Renewal does not make the user lose any days. If the user renews the same subscription before it expires, the new period starts the day after the current one ends, not on the day of purchase. Renewing early therefore never costs any playing time.
  • Month ends are normalised. A one-month purchase made on January 31 ends on February 28 or 29, never on March 3. The duration remains the same regardless of the purchase day.

Configure fixed cycles

Under Cycles available for purchase, each row is a dated cycle: a Label, a Period with its Start Date and End date, and a Price. The Add a cycle button lets you prepare several cycles in advance.

Preparing the next season now carries no risk. An ended cycle disappears from the offer automatically, without any action on your part. You can therefore leave old seasons in place, and they will never be offered for purchase.

A cycle whose end date falls today is already no longer sellable: there would be nothing left to sell. If you want the season to remain purchasable up to and including its last day, set its end date to the following day.

Calculate the pro rata price

With fixed cycles, a user who joins the club in March would pay the full price for the entire season. The Prorated price calculation solves this problem: the price decreases as the cycle progresses.

Three Calculation Mode options are available:

  • By remaining days: the most precise option, where the price decreases every day.
  • Per remaining month: the price decreases in monthly steps.
  • By remaining quarters: the price decreases in quarterly steps, which is useful when your offer is already expressed in quarters.

Before the cycle starts, the full price applies. Buying next season in advance does not grant any discount.

Two floors prevent a derisory end-of-season price:

  • Floor percentage: minimum percentage of the full price. At 30%, a €180 season will never go below €54.
  • Absolute Ceiling Floor: minimum amount in euros, whatever the calculation.

Both are combined, and the higher one applies. A pro rata price can never exceed the full price, even if a high absolute floor applies to a low-cost cycle.

The floor is not only an accounting feature. Without it, a player who signs up at the end of July would pay a few euros for a season, then buy again at the full price six weeks later, feeling that the increase was sudden. A 25% or 30% floor smooths out that perception.

If the pro rata price reaches zero and no floor is set, the plan is not offered at all, rather than being displayed and then refused at payment.


Manage renewal

The Behavior upon expiration determines what happens when the subscription reaches its end:

  • Manual: the user must buy again from their own account area.
  • Assisted renewal: at their next booking attempt after expiration, a window offers them one-click repurchase.

Assisted renewal turns a refusal into a sale. The user discovers their expiration at the worst possible time, when they want to play. The application immediately gives them the solution, instead of sending them to a menu they would have to look for.

The Early pre-sale sets the number of days before the due date during which the user can already buy the next period. The new period starts at the end of the current one, with no overlap and no loss.

Opening pre-sales 30 to 60 days before the end of the season spreads out payment collections and avoids the bottleneck of restart week, when everyone renews at the same time and the office is overwhelmed with calls.

Open the subscription to changes

The Propose subscription change option decides who sees this offer:

  • enabled, all users can choose this subscription from their account area to change plan;
  • disabled, it remains reserved for those who already have it, and they can still renew it.

This setting lets you keep a legacy plan, a preferential price, or an offer reserved for a group, without removing it from those who already benefit from it.
