Send bulk messages

Contact all or some of your users in a single send: internal messaging, email, and push notifications, with detailed read tracking.


Compose and send a bulk message

  1. Go to AdministrationUsersUser Management.
  2. Filter the list to target your recipients: profile, subscription, group, or any other filter.
  3. Select the users you want, or use Select All to include the entire filtered list.
  4. Open the Actions menu.
  5. Click Send a Message.
  6. Check the Sender's Name and the Sender's E-mail: this address will receive replies.
  7. Fill in the Subject of the message and the content.
  8. Choose the sending channels.
  9. Click Send.

The New Message button on the AdministrationUsersGroup Messages page takes you to this same selection: the user list is the starting point for every bulk send.


Check who will receive what

The recipient list shows an icon for each user, even before sending:

  • if an email address is provided, the user will receive an internal message and an email;
  • if the address is missing, only the internal message will be delivered;
  • if the user has opted out of club emails, only the internal message will be delivered;
  • push notifications are active on their devices.

A counter also shows the exact number of emails and notifications that will be sent. Read it before confirming: a large difference from the number of selected recipients indicates an incomplete database, which should be corrected before an important communication.


Personalize the message for each recipient

The Merge Fields button inserts variables into the subject or content: last name, first name, full name, login ID, email address, date of birth, ranking, phone number, access code, and more. Each recipient receives a personalized message with their own data.

The Template field lets you start from a message that has already been sent. You can also open an old message and click Duplicate to resend it as is or adapt it.

The login ID merge field turns a back-to-season message into a troubleshooting tool: each person receives their own login ID in the message body, and the club avoids a wave of forgotten password requests.

Choose the sending channels

In the Type of Delivery area, the message is always delivered to internal messaging. You can also add:

  • By e-mail: an email is sent to recipients who have an address entered and who have not disabled emails.
  • Push Notifications: a notification is sent to the devices where the user has enabled notifications.

The Disable Responses option prevents recipients from replying through messaging: this is useful for purely informational announcements.


Track reads and deliverability

  1. Go to AdministrationUsersGroup Messages: all sent bulk messages are listed there.
  2. Open a message: the Overview tab shows the sent content, and the recipients tab details delivery for each person.
  3. For each recipient, you can see whether the message was read in messaging and the email status: Delivered, Open, Clicked, Failure, or SPAM.

The View the full report link opens AdministrationDashboardEmail Log filtered on this send, with the open rate and details of any errors.


Reduce the risk of being marked as spam

  • Write a short, clear subject line, without excessive capitalization or repeated punctuation.
  • Use mostly text-based content; avoid sending a message made up of one large image.
  • Space out mass sends and target only the recipients who are actually concerned by using filters.
  • Invite your users to add the sending address to their contacts and to check their spam folder.
