Cash register

Sell at the counter without creating an order first: build your customer’s basket using touch tiles, then take their payment. Go to the AdministrationDashboardBillingCash Register menu.

Know when to use the cash register

The cash register is not only for immediate payments. It is simply another, more direct way to create a sale than the order form. You build a basket in a few taps, and the status you give the payment determines what happens to the sale.

  • Confirmed payment: the sale is paid immediately and becomes an invoice. This is the usual counter case: a tube of balls, a drink, or a pack of credits.
  • Pending payment: nothing is collected for now, and the sale remains pending payment. You have just created a purchase order, which the customer will pay later by bank transfer or on their next visit.

Many managers find the cash register more intuitive than the sales menu for creating an order, even without taking payment. Products are visible as tiles, instead of being inside a form.

At the end of the sale, the order opens automatically in a side panel. There you will find all the sales tracking options — payment schedule, additional payments, sending the invoice by e-mail — that the cash register itself does not provide.

This is the right way to look at the two screens: the cash register is fast and covers the essentials, while sales tracking offers all the settings. Nothing prevents you from starting with one and finishing with the other.

Build the basket

The catalog is displayed as tiles. Each click adds the item to the Cart, and a second click increases the quantity.

Several tabs help you find an item quickly: All, Favorites, Popular — the best sellers — and Miscellaneous, along with your catalog categories. The Search field remains the fastest option once the catalog grows.

Tiles display the remaining Stock when the product manages stock, and the Break label when it is sold out.

Take five minutes to organize your cash register with the Organize button. Pin the few items that make up most of your sales as Favorites, and drag the tiles into the order in which you look for them. At the counter, with a queue waiting, those seconds matter.

Sell something that is not in the catalog

The Custom button creates a line item on the fly: a Label, a Total Amount Including Tax, and a VAT rate. If the item comes up regularly, create it once in the catalog instead. The Manage Products shortcut takes you there directly, and you will also gain sales tracking by product.

By default, the sale is recorded under Walk-in Client. This is the right choice for a visitor buying a drink.

Link it to a user as soon as the nature of the purchase requires it. This is essential in two cases:

  • a sale of credits, which must credit a specific account to be usable;
  • a subscription, which only makes sense when linked to a person — the Choose a plan button then selects the required plan.

The Detach button switches back to the walk-in customer if you selected the wrong person.

Some products are only offered to certain subscriptions. If you link a user whose subscription does not allow an item already in the basket, that item is removed and a message notifies you. Check the total before taking payment.

Enter the details of a walk-in customer

When taking payment, you can enter the customer’s identity and address without creating an account for them: last name, first name, address, and the Company Address block with the Company Name, SIREN, and VAT number for a sale to a company.

These details are fixed on the sale. They are used to issue a named invoice, and they make the sale searchable: order tracking searches these fields, otherwise all counter sales would look the same.

Apply a discount

There are two options directly in the basket:

  • the Promo code, which applies an already defined commercial offer;
  • the Manual Discount, as a Percentage or Amount, decided case by case.

The total takes the discount into account immediately, but note the message “estimated discount, revalidated at payment”: a code that has expired or whose usage limit has been reached will be excluded during validation, and the actual amount will be shown before you confirm.

Take the payment

  1. Click Cash In: the basket is locked and the payment window opens with the amount to collect.
  2. Choose the payment method: CB on site, Cash, Transfer, or Check.
  3. Choose the payment status: Confirmed if the money has been received (invoice), or Pending if payment will come later (order).
  4. Confirm: the order is created, the payment is recorded, and the basket is emptied for the next customer. The order then opens in a side panel, ready to be completed if needed.

Take payment on the payment terminal

If a card terminal is linked to your billing account, choosing CB on site displays the Terminals line, with your terminal already selected. In the usual case, you do not need to do anything more than confirm. The Manual Entry tile remains available to record a card payment collected another way.

As soon as a terminal is selected, the status is locked to Confirmed and the date is fixed. The terminal will confirm the payment, not you. The button becomes Continue: it sends the amount to the device, where the customer presents their card.

Clicking Cash In does not record anything. As long as you have not confirmed the payment, no sale exists: closing the window leaves your basket intact, ready to be corrected, and no phantom order will remain in your tracking.

During payment, the basket remains locked: what you collect is exactly what the customer saw.

If a terminal payment fails after it has been launched — card declined, time-out — the sale is kept and opens in order tracking. Resume payment from this order, using another method if needed. Do not rebuild the basket: you could charge the customer twice.

Find a counter sale

Cash register sales are added to order tracking like all other sales. Search for them by the customer’s name if it was entered, or by period if the sale is anonymous. Refunds, sending the invoice by e-mail, and accounting exports work the same way.
