Check sent e-mails and trace actions

Two logs help you monitor what is happening in your club: the e-mail log to check that your messages are reaching their recipients, and the audit log to trace administration operations.


View the e-mail log

  1. Go to AdministrationDashboardEmail Log.
  2. Each e-mail sent by the club appears with its status: Delivered, Open, Clicked, Temporary Failure, Postponed, Permanent Failure, Blocked, Invalid e-mail address, Spam or Unsubscribe.
  3. Three gauges at the top of the list summarize the period: the delivery rate, the open rate, and the failure rate.

The Legend button opens the details for each status, with an explanation of what the recipient’s server actually returned.

An open rate is never complete: mailboxes that block images prevent the measurement. Read it as a trend, not as an exact count. The delivery rate is reliable.

Find an e-mail that was not received

A user has not received their login details or the club’s latest message? The log gives you the answer.

  1. Open Filters and fill in By Recipient to isolate the e-mails sent to this user.
  2. Click the relevant row: the details show the exact address used, the subject, the date, and the message returned by the recipient’s mail server.
  3. Use By Status to quickly find all failed sends over the period.

The three most common cases are handled differently:

  • Permanent Failure or Invalid e-mail address: the address is misspelled or does not exist. Correct it in the user’s profile.
  • Temporary Failure or Postponed: the recipient’s mailbox was full or their server was unavailable. The next send is likely to succeed.
  • Blocked: sends to this address are suspended, usually after a spam report or repeated errors.
The Unsubscribe status is the most misleading: the user clicked the unsubscribe link, and no further e-mails will be sent to them, including their login details and booking confirmations. Correcting the address is not enough — you must ask support to unblock it.

Track the deliverability of a group message

After a group send, open Filters and choose the message in By Group Message: you can measure how many recipients received, opened, or clicked this specific message, and identify failed addresses.

This is the right reflex after a general meeting notice or a closure announcement: instead of assuming that “everyone has been notified”, you know who to call by phone.

This filter appears only if your profile allows you to send group messages.


Trace administration actions

  1. Go to AdministrationDashboardAudit Log.
  2. The log displays the latest operations carried out in your club (excluding bookings), with their author, IP address, and date.
  3. Click Export (.txt) to download the full history.

This log is valuable when several people administer the club: it lets you know who changed a setting, deleted an account, or sent a message. If you have doubts about an action, this is the first item to check — the export contains the full history, far beyond the lines displayed on screen.

Bookings are not included there: they have their own, much more detailed log.
