Configure your calendars

A calendar represents a bookable court or space (court, track, room). Create one calendar per court, then define its opening hours, time slot duration, and appearance.


Create a calendar

  1. Go to AdministrationSettingsBookingCalendars.
  2. Click New.
  3. Enter the court name and choose its color in the Name & Color field.
  4. Complete the Settings and Opening Hours tabs described below.
  5. Click Save.

Define opening hours and time slot duration

  1. Open the calendar’s Opening Hours tab.
  2. Each time range includes a start time, an end time, and a Duration of a Time Slot value expressed in minutes.
  3. Click Add a Time Slot to combine several ranges on the same day, for example 60-minute time slots during the day and 90-minute time slots in the evening.
  4. Tick Set different opening hours for each day of the week to configure each day separately.
Need longer time slots for matches? Add a dedicated time range with a suitable duration, or book these matches with a label over several consecutive time slots.

Allow flexible start times and durations

By default, users book within the predefined time slots of each calendar. You can let them choose the start time and duration of their booking freely:

  1. Go to AdministrationUsersAccess RightsSubscriptions.
  2. Open the relevant subscription plan, then open the Permissions tab.
  3. Enable the Custom Time Slots option.
  4. In the advanced settings, adjust the interval between each time slot and the minimum and maximum duration of a booking, calendar by calendar if needed.

This setting is defined at subscription level, not calendar level. You can therefore give competitors more flexibility and keep fixed time slots for other plans on the same courts.


Customize the calendar appearance

In the Settings tab:

  1. Fill in the court Surface.
  2. Choose the Situation: Outdoor or Indoor / Covered.
  3. In the Calendar Photo section, click Edit to add an image, such as a court photo or a sponsor logo. The photo can only be added after the calendar has been created.

Limit the number of booking days

The Default number of days section in the Settings tab determines how far ahead users can display and book this calendar, for example booking at D+7 while viewing up to D+14. The Display in the past option also allows them to view past days.

These limits do not apply to club managers, who can view and book without date restrictions. You can customize them by subscription plan with the Authorized Calendars & Number of Days for Booking option in the Permissions tab. The calendar value is then used as the default setting, and the subscription value takes priority.


Display a message to users who book

In the Message tab, write text specific to this calendar, then choose how it is displayed:

  • Display the message on the booking form: the text appears below the selected time slot.
  • Display the message in a window: a window opens after the booking is confirmed.

Both options can be combined. The message in a window is suitable for instructions that must not be missed — access code, shoe rules, requirement to water a clay court. The message on the form is suitable for contextual information that is less mandatory.


Synchronize calendars with each other

The Synchronized Calendars section in the Settings tab prevents a user from booking a time slot if they are already busy on a linked calendar. This is useful when one space overlaps another, for example a tennis court on which several badminton courts are marked.

This case can also occur without a physical overlap. A club whose practice wall is located behind court 1 can link the two calendars to prevent a wall session from disturbing a match.


Reorder, duplicate, or temporarily close

  • To change the display order of calendars, drag and drop the rows in the list using the Move handle. The order is saved automatically.
  • To create an identical court, open the calendar and click Duplicate.
  • To close a court during works or the off-season, enable the Temporary Closure section in the Settings tab. Define the start and end dates, add an optional comment, and tick Hide Completely to remove the calendar from the users’ view. Only club managers will still see it.

Adjust display preferences

The Display Preferences button on the AdministrationSettingsBookingCalendars page groups together the visual settings shared by all calendars: Style of Calendars by Day, Labels style, Default Zoom, Booking Color, Available Time Slots, Display User Names, Display Photos, Display subscription colors, Weather Forecast, Proof of Receipt Printing, and Colored Tabs.

These settings apply to the entire club and to all calendars. This is where you decide, among other things, whether players can see the names of other bookers — a choice that is as much about club culture as it is about privacy.
