Using labels and annotations

Labels block time slots on behalf of the club (training, academy, tournament), while annotations display an overlay message without preventing booking.


Choose between a label and an annotation

A label is a booking made by the club: the time slot becomes unavailable to users. An annotation is a simple message placed over time slots: it draws attention to something (for example, a reminder or an instruction) but never blocks booking.

Create a predefined label

  1. Go to AdministrationSettingsBookingLabels & Annotations.
  2. Click New Label.
  3. Enter the Label Name, for example the name of a lesson or tournament.
  4. Choose the Background color that will appear on the calendars.
  5. Click Save.

From a label’s record, the History button displays all bookings made with this label in the booking log, and its counter indicates how many time slots it occupies. This is the most direct way to quantify the court hours actually used by the tennis academy.


Place a label on a calendar

  1. On the calendar, click the time slot you want to block.
  2. Open the Labels tab in the booking form.
  3. Select the label, add an optional comment that will be displayed below its title, then confirm.

You can freely adjust the start and end time to cover several consecutive time slots, and use Repetition to schedule a weekly lesson over an entire period. Bookings with labels are club bookings: they do not use up users’ quota.

You can allow certain users (coaches, activity leaders) to book with labels: the list of authorized labels is configured in each plan’s labels tab, in AdministrationUsersAccess RightsSubscriptions.

Two paths lead to this permission, and they are not equivalent. The profile permission Book with a club label gives access to all labels without limits: reserve it for administrators. The subscription setting only authorizes the labels you specify, with a cap — this is the one to give to a coach or team captain.


Display a message with an annotation

  1. On the calendar, click a time slot.
  2. Open the Annotations tab in the booking form.
  3. Enter your text, choose the Background color, then confirm. The message appears as an overlay on the selected time slots, which remain bookable.

To delete an annotation, click the relevant time slot, open the same tab, and use the delete button, adjusting the time and repetition if needed.


Manage existing annotations

The Annotations tab on the AdministrationSettingsBookingLabels & Annotations page lists all annotations already used. For each one, use Show/Hide to remove it from the booking form suggestions, or Delete to delete it from all calendars.


Adjust label display

In the Display Preferences on the AdministrationSettingsBookingCalendars page:

  • Labels style: fully colored cell or simple discreet border.
  • Hide the label titles: unauthorized users see the word Reserved instead of the title.
  • Hide comments on labels: restricts comment visibility to authorized users.
  • Display annotations: disable this option to reserve the annotation view for club managers.
