Manage users day to day

User management centralizes all your club records: contact details, login credentials, subscription, credits, notes, and trash. It is your entry point for all day-to-day operations.


Open and edit a user record

  1. Go to AdministrationUsersUser Management.
  2. Search by last name, first name, year of birth, or license number, or refine your search with Filters.
  3. Click the user to open their record.

The record includes the sections Login Credentials, Access Rights (profile, subscription, groups), Contact Information, Information, Notifications & Privacy, and Operation History. To create a user, click New.


Enter several e-mail addresses

The record provides two e-mail fields: the second appears under the label Email 2. Notifications and login details are sent to all entered addresses.

For a child whose parents are separated, enter each parent’s address: both will receive club communications and booking notifications.

Reset a password

  1. Open the record, section Login Credentials.
  2. Click Reset: a new password is provided.
  3. Click Save: the new password is sent by e-mail to the addresses entered on the record.

Suspend or reactivate an account

  1. On the record, use the Suspend / Reactivate button.
  2. If needed, enter a reason via Reason for Suspension (optional): it will be shown to the user if they try to sign in.
  3. Enable Send a Notification (E-mail / Push) to notify the user.

A suspended account can no longer sign in until the club reactivates it.


Add notes and reminders

Each record has a Notes block: enter a comment, choose a priority, and add a reminder date if needed. You can then find all club notes in AdministrationUsersNotes & Reminders, with filters by user, author, or period, and mark processed reminders.


View and adjust credits

The record displays the balances Booking Credits and Guest Credits when the subscription uses them.

  1. Click Add / remove credits to adjust a balance, with an optional note.
  2. Click Operation History to trace each transaction: purchase, booking, cancellation, manual allocation.
To check a user’s credit purchases, combine the transaction history in their record with their orders in billing.

Limit authorized partners

You can restrict the list of people with whom a user can book.

  1. On the record, open the section Notifications & Privacy.
  2. Under Authorized Partners, enable Restrict the Partner List.
  3. Select the authorized partner or partners.

The user cannot change this setting themselves.

Typical example of a parent-child card: a non-member parent who must only book with their children.

Move to trash, restore, or delete

  1. Select one or more users, then choose Delete: they are first moved to the trash.
  2. Open the trash via its icon at the top of the list to Restore a user, Restore All, or Empty the Trash.

Users in the trash are not counted in your club’s subscription.

Users remain restorable for 6 months after being moved to the trash. After this period, they are permanently deleted from the database.
