Manage a season

Season change from A to Z: prepare new subscriptions, reassign users in bulk, reset credit counters, and clean up accounts.


Prepare subscriptions for the new season

  1. Go to AdministrationUsersAccess RightsSubscriptions.
  2. Open each subscription from the previous season. Then click Duplicate.
  3. On the copy, adjust the name, such as the year. Adjust the start and end dates, and the price if necessary.
Keep the old subscriptions instead of changing their dates: the history and statistics from the previous season remain intact, and you can switch users to the copies at your own pace.

Reassign the new subscription in bulk

  1. Go to AdministrationUsersUser Management.
  2. Click Filters. Filter by old subscription to target the relevant users.
  3. Click Select All. Then open the Actions menu and choose Quick Edit.
  4. Select the new subscription in the Subscription list. If needed, tick Edit Subscription Dates.
  5. Save: all selected users are switched in a single operation.

You can also reassign subscriptions using a file import (AdministrationUsersImport / ExportImport a File), which is useful if you prepare the season in a spreadsheet.


Reset credit counters

  1. In AdministrationUsersUser Management, select the relevant users. You can also use Select All after filtering.
  2. Open the Actions menu and choose Credits.
  3. For both Booking Credits and Guest Credits, choose Meter Upgrades and enter the target value, for example 0.
  4. Save: all selected counters are aligned to the same value.
The adjustment replaces each selected user’s balance with the specified value, regardless of their initial balance. To add or remove credits while keeping the differences between users, use the Add / remove credits option instead.

Clean up accounts

  1. Filter the users who are not renewing their membership.
  2. From the Actions menu, choose Suspend to temporarily block access. Choose Delete to move the accounts to the trash.
  3. Open Trash from the users page to restore an account moved by mistake. You can also use Restore All and Empty the Trash.
Accounts can be restored for 6 months after being moved to the trash, then they are permanently deleted. During this period, they are not counted toward the user limit of your OpenResa plan.

Cover two activities with a single subscription

Each user can only have one subscription at a time. If your club offers tennis and padel, for example, create a combined subscription instead of two separate subscriptions:

  1. Create a single subscription, for example “Tennis + Padel”.
  2. In the Quota tab, open Advanced Configuration. Then use Add a quota to define a separate quota for each calendar group.
  3. To differentiate prices, enable the credit system on the relevant calendars (Activate the credit system). Then define rules in Booking Rates.
  4. If some subscriptions must not overlap on the same time slots, use the Rules tab and the Prohibit booking with other subscriptions option.
