Products & services
The catalogue brings together everything your club sells: booking credits, subscriptions, equipment, food and drinks, tournaments, lessons, camps, and more. It feeds the users’ cart, the cash register, and manual orders.
Understanding product types
Each product belongs to a category: subscription, booking credit, guest credit, equipment, food and drinks, tournament, lesson, camp, or custom. The tabs above the list let you filter the catalogue by category.
Creating a product
- Go to Administration›Settings›Billing›Products & Services.
- Click New.
- Choose the product type, then enter the title, an optional description, and a color.
- Click Save.
Setting the price and taxes
- Enter the unit price including tax: the amount excluding tax is displayed automatically.
- Check the tax rates: they are pre-filled with the club’s default rates, which can be adjusted in Administration›Settings›Account Settings.
- For volume pricing, click Add a quantity-based rate and define a price for each quantity tier, for example 10 units at a reduced price.
- Enable Free Quantity if the user can choose the quantity when placing their order.
Tracking stock
- Enter the quantity in stock, or tick Unlimited Stock.
- Stock is updated automatically as sales are made.
- You can adjust it at any time.
- Set the low-stock threshold to receive an alert when stock drops below it: 0 disables the alert.
Selling a subscription online
A subscription is not put on sale from the catalogue. You configure it directly from its record, in Administration›Users›Access Rights›Subscriptions, under the General tab, in the Payments & Billing section. Enabling this section automatically creates the corresponding product, which users can then find to subscribe or renew this subscription online:
- Enable the Payments & Billing section.
- Choose the duration mode: Slippery (the duration starts on the purchase date) or Fixed Cycles (predefined dates, such as a sports season).
- Add the plans sold: durations in months for rolling mode, or dated cycles for fixed mode, each with its own label and price.
- For fixed cycles, enable prorated price calculation if needed for purchases made during a cycle, with a minimum percentage or amount.
- Choose the expiration behavior: Manual (the user buys again on their own) or Assisted renewal (the repurchase is offered in one click at the next booking attempt).
- Set the early pre-sale period: the number of days before the expiry date during which the user can buy the next period.
- Enable Propose subscription change so that other users can choose this subscription from their account.
Offering payment in installments
- In the product record, set the Payment in installments option: from 2 to 6 installments.
- The total is split into equal parts.
- The first installment is paid immediately, and the services are delivered as soon as this first payment is made.
Managing product visibility
- Only active products can be purchased: disable Active product to temporarily remove a product from sale without deleting it.
- The Archive button at the top of the panel permanently removes the product from the catalogue; its sales history is kept.
- Disabled products and products created on the fly from a manual order are hidden from the list by default: display them using Include disabled products and Include one-shot products in the list settings menu.
