Configure your calendars

A calendar represents a court or a reservable space (court, track, room). Create one calendar per court, then define its opening hours, time slot duration, and appearance.


Create a calendar

  1. Go to AdministrationSettingsBookingCalendars.
  2. Click New.
  3. Enter the court name and choose its color in the Name & Color field.
  4. Complete the Settings and Opening Hours tabs described below.
  5. Click Save.

Define opening hours and time slot duration

  1. Open the calendar’s Opening Hours tab.
  2. Each time range includes a start time, an end time, and a Duration of a Time Slot value expressed in minutes.
  3. Click Add a Time Slot to combine several ranges on the same day, for example 60-minute time slots during the day and 90-minute time slots in the evening.
  4. Tick Set different opening hours for each day of the week to configure each day separately.
Need longer time slots for matches? Add a dedicated time range with a suitable duration, or book these matches with a label over several consecutive time slots.

Allow free start times and durations

By default, users book within the predefined time slots of each calendar. You can let them freely choose the start time and duration of their booking:

  1. Go to AdministrationUsersAccess RightsSubscriptions.
  2. Open the relevant subscription plan, then the Permissions tab.
  3. Enable the Custom Time Slots option.
  4. In the advanced settings, set the interval between each time slot and the minimum and maximum duration of a booking, calendar by calendar if needed.

Customize the calendar appearance

In the Settings tab:

  1. Enter the court Surface.
  2. Choose the Situation: Outdoor or Indoor / Covered.
  3. In the Calendar Photo section, click Edit to add an image, such as a photo of the court or a sponsor logo. The photo can only be added after the calendar has been created.

Limit the number of booking days

The Default number of days section of the Settings tab determines how far ahead users can view and book this calendar, for example book up to 7 days ahead but view up to 14 days ahead. The Display in the past option also allows users to view past days.

These limits do not apply to club managers. You can customize them by subscription plan with the Authorized Calendars & Number of Days for Booking option in the Permissions tab.


Display a message to users who book

In the Message tab, write text specific to this calendar, then choose how it is displayed: under the selected time slot on the booking form, in a window after confirmation, or both.


Synchronize calendars with each other

The Synchronized Calendars section of the Settings tab prevents a user from booking a time slot if it is already occupied on a linked calendar. This is useful when one space overlaps with another, for example a tennis court on which several badminton courts are marked out.


Reorder, duplicate, or close temporarily

  • To change the calendar display order, drag and drop the rows in the list using the Move handle. The order is saved automatically.
  • To create an identical court, open the calendar and click Duplicate.
  • To close a court during maintenance work or an off-season period, enable the Temporary Closure section of the Settings tab. Define the start and end dates. Add an optional comment. Tick Hide Completely to remove the calendar from the users’ view. Only club managers will still see it.

Set display preferences

The Display Preferences button on the AdministrationSettingsBookingCalendars page groups the visual settings shared by all calendars: booking style and color, default zoom, text on free time slots, display of user names and photos, weather forecast, colored tabs, and more.
