Receive activity reports by e-mail

Automatically receive a summary of your club’s activity: member numbers, subscriptions, registrations, bookings, logins, and e-mails, with changes compared with the previous period.


Enable reports

  1. Go to AdministrationSettingsActivity Reports.
  2. Enable Enable Activity Reports by E-mail.
  3. In E-mail Addresses, enter up to 4 recipients, one address per line.
  4. Click Save.

Recipients do not need a manager account or any special permission. The report arrives in their inbox. This is the simplest way to keep a president or treasurer informed when they never log in to the application.


Choose the frequencies

Three reports are available, and you can enable them separately or together:

  • Daily Reports: every morning, the previous day’s activity.
  • Weekly Reports: every Monday morning, the past week.
  • Monthly Reports: on the 1st of each month, the past month.

Each one meets a different need. The daily report supports day-to-day management. It shows what needs to be handled today. The monthly report can be forwarded as-is to the committee, with no reformatting. The weekly report sits in between and works well for a volunteer manager who comes to the club once a week.

You do not have to send all three reports to the same people, but the address list is shared. If your needs really differ from one recipient to another, keep the broadest report and let each person filter it in their inbox.

Understand what the report contains

The report is not limited to bookings. It brings together seven groups of indicators, each compared with the previous period:

  • Users: total number of users, new accounts, suspended accounts, accounts moved to the trash, and permanently deleted accounts.
  • Subscriptions: paid subscriptions, expired subscriptions, and especially subscriptions due to expire in the next 30 days.
  • Online registrations: accepted, refused, and pending requests.
  • Bookings: total bookings, user bookings, club labels, invitations, annotations, cancellations.
  • Logins: accepted logins, refused logins, and number of active users.
  • E-mails: delivered, opened, and failed messages.
  • Kiosk presence check-in: checked-in time slots, time slots not checked in, automatic cancellations, and penalized accounts.

The last three groups only appear if the corresponding feature is active in your club. Online registration must be open on at least one subscription, and presence check-in must be enabled on the kiosk.


Use the report as a work list

This is what sets this report apart from a simple table of figures: several sections include names. You do not just read “12 subscriptions are expiring soon”. You get the list of the twelve people.

Three uses follow naturally:

  • The list of subscriptions expiring within 30 days is your follow-up list. It arrives automatically every month, without you having to build a filter.
  • The list of pending registrations reminds you of requests that no one has handled. This is a typical case in a club where several people administer the system without explicitly sharing out the task.
  • The failed e-mail counter flags an address database that is deteriorating, well before a member complains about not receiving anything.
The report is a snapshot sent on a fixed date. To explore a period of your choice, combine filters, or export data, use the activity summary and the dashboard statistics.
