Practical examples: courts & calendars
Concrete solutions for your courts: hide a calendar, allow solo bookings on a practice wall, organize volunteer shifts, make time slots longer for matches, or let users choose their own times.
Hide a calendar from users
There are four methods. Choose the one that matches your goal:
- For specific subscriptions only: in Administration›Users›Access Rights›Subscriptions, open the subscription, then in the Permissions tab, click Edit in the Authorized Calendars & Number of Days for Booking section and uncheck the calendar you want to hide.
- For everyone, during a period: in Administration›Settings›Booking›Calendars, open the calendar record, then in the Temporary Closure section, check Activate a closure and enter the dates. With the Hide Completely option, only administrators can still see the calendar.
- For specific recurring time slots: use Administration›Settings›Booking›Close Time Slots. Closed time slots remain visible, greyed out with a padlock, and administrators can still book over them.
- To visually block a period with a reason: book the time slots with a label, for example “Maintenance work”, using repetition.
Allow solo bookings on a practice wall
On a tennis wall or in a squash room, requiring a partner does not make sense. Allow bookings without a partner, but only on this calendar:
- In Administration›Users›Access Rights›Subscriptions, open the relevant subscription, then open the Permissions tab.
- Enable Book Without a Partner.
- Open the Advanced Settings for this option, then the Advanced Configuration. Limit solo bookings to the wall calendar, and to specific time ranges if needed.
To prevent wall bookings from using the court quota, add a dedicated quota for this calendar in the Quota tab via Advanced Configuration.
Organize volunteer shifts
To plan the club reception desk or shifts run by volunteers:
- Create a dedicated “Volunteer shifts” calendar in Administration›Settings›Booking›Calendars, with time slots during opening hours.
- Reserve this calendar for volunteer subscriptions via the Permissions tab.
- In the Quota tab, add a quota specific to this calendar (Advanced Configuration then Add a quota). Signing up for a shift then does not prevent users from booking a court.
Each volunteer signs up for their own shift time slots, and the schedule is visible to everyone.
Offer longer time slots for matches
You can combine these two approaches:
- Adjust the time grid: in the calendar record, use Add a Time Slot to create a dedicated time range with a longer Duration of a Time Slot, for example 90 minutes in the evening for matches.
- Create a “Match” label: in the subscription, in the Labels tab, enable Allow booking with labels, choose the label and the number of allowed time slots, then check Allow Consecutive Time Slots. Players can then book two consecutive time slots with this label, without being blocked by the usual rules.
Let users choose the start time and duration
To move away from a fixed time slot grid, which is useful for golf, simulators, or à la carte rentals:
- In Administration›Users›Access Rights›Subscriptions, open the subscription, then open the Permissions tab.
- Enable Custom Time Slots: the user chooses the duration and start time of their booking.
- In Advanced Settings, define the available flexibility: Interval between each time slot, Minimum booking duration, Maximum Booking Duration, and the The subscriber can modify the start time of the time slot option.
- Limit these rules to specific calendars or time ranges if needed.
