Directory and Default Settings

Open your organization's directory to help players find partners, and set the values applied by default to every new user: profile, subscription, passwords and privacy.


Enable the organization directory

The directory is offered to players in the booking menu, under Find a Partner: it makes it easier to look for a partner by age and level, then to get in touch by message or by phone.

  1. Go to AdministrationSettingsBookingCalendars and open Display Preferences.
  2. In the Directory (Find a Partner) section, enable the directory.
  3. Choose the information that is visible: Display phone numbers and Display Age.

Each user can ask not to appear in the directory through their privacy settings, and you can hide them yourself from their profile.


Set the default profile and subscription

  1. Go to AdministrationUsersUser Management, open the Settings menu, then Advanced Settings.
  2. Choose the Default Profile and the Default Subscription: they will be pre-selected each time a user is added, whatever the channel (profile, quick creation, import, online registrations).

These settings do not change existing users.

Set these two values before your first import: they will apply to every line of your file that has no dedicated column. Correcting them afterwards requires a bulk edit.

Frame password rules

Still in the advanced settings, choose your password policy:

  • Generate a random password: a secure password unique to each user, recommended.
  • Use a default password: the same password given to everyone. This method helps when you add users whose e-mail address you do not have, but it remains inadvisable.
  • Change the password at first login: the user sets their own password on their first visit, recommended.

The safest combination pairs random generation with a change on first login: nobody in the organization knows a user's password, not even you.


Define default privacy settings

The Default Privacy Settings section determines the settings applied to new users, whatever channel they arrive through: identity visible on the calendars, photo, presence in the directory, who can book with them, who can write to them.

Each user then keeps control over their own settings, within the limits of the fields you make editable. Changing these default values does not affect accounts that have already been created.

The advanced settings also let you:

  • restrict the User-editables fields on their own account;
  • create Custom Fields for your internal needs, each one either left read-only or made editable by the user;
  • enable Automatic Formatting of First Names / Last Names to keep your database consistent;
  • define Age Categories, which can then be used in the list filters and in exports.
The year of birth can stay hidden in the directory: only enable the display of age if your users agree to it.

Choose the columns of the list

The Settings menu also offers Custom Columns: select the information shown in the user list.

This is a real time-saver depending on the time of year. In September, display the medical certificate column and the payment status column to see incomplete files at a glance; for the rest of the year, go back to a simpler display.
