Receiving activity reports by e-mail

Automatically receive a summary of your organization's activity: membership numbers, subscriptions, registrations, bookings, logins and e-mails, along with the trend compared with the previous period.


Enabling the reports

  1. Go to AdministrationSettingsActivity Reports.
  2. Enable Enable Activity Reports by E-mail.
  3. In E-mail Addresses, enter up to 4 recipients, one address per line.
  4. Click Save.

Recipients do not need a manager account or any particular permission: the report simply lands in their inbox. This is the easiest way to keep a chairperson or a treasurer informed when they never log in to the application.


Choosing the frequencies

Three reports exist side by side, and can be enabled separately or together:

  • Daily Reports: every morning, the previous day's activity.
  • Weekly Reports: every Monday morning, the past week.
  • Monthly Reports: on the 1st of each month, the past month.

Each one answers a different need. The daily report supports day-to-day duty: it flags what needs handling today. The monthly report can be forwarded to the committee as it is, with no reformatting. The weekly report sits in between and suits a volunteer manager who comes on site once a week.

Nothing forces you to send all three reports to the same people, but the address list is shared. If your recipients really have different needs, keep the broadest report and let each person filter in their own mailbox.

Understanding what the report contains

The report is not limited to bookings. It brings together seven families of indicators, each compared with the previous period:

  • Users: total membership, new accounts, suspended accounts, accounts moved to the bin and accounts permanently deleted.
  • Subscriptions: paid subscriptions, expired subscriptions, and above all those coming to an end within the next 30 days.
  • Online registrations: requests accepted, refused and pending.
  • Bookings: total, user bookings, organization labels, invitations, annotations, cancellations.
  • Logins: accepted logins, refused logins and number of active users.
  • E-mails: messages delivered, opened and failed.
  • Presence check-in on the kiosk: time slots checked in, not checked in, automatic cancellations and penalised accounts.

The last three families only appear if the matching feature is active in your organization: online registrations must be open on at least one subscription, and presence check-in must be enabled on the kiosk.


Using the report as a to-do list

This is what sets this report apart from a plain table of figures: several sections name individuals. You do not just read "12 subscriptions are expiring soon", you get the list of those twelve people.

Three uses follow naturally:

  • The list of subscriptions coming to an end within 30 days is your follow-up list. It arrives on its own, every month, with no filter to build.
  • The list of pending registrations reminds you of the requests nobody has handled — the typical case of an organization where several people administer without explicitly sharing out the task.
  • The failed e-mail counter flags an address base that is deteriorating, well before a member complains about receiving nothing.
The report is a snapshot sent on a fixed date. To explore a period of your choice, combine filters or export data, use the activity overview and the dashboard statistics.
