Configure your calendars

A calendar represents a bookable court or space (court, track, room). Create one calendar per court, then define its opening hours, the time slot duration and its appearance.


Create a calendar

  1. Go to AdministrationSettingsBookingCalendars.
  2. Click New.
  3. Enter the name of the court and choose its colour in the Name & Color field.
  4. Fill in the Settings and Opening Hours tabs described below.
  5. Click Save.

Define the opening hours and the time slot duration

  1. Open the Opening Hours tab of the calendar.
  2. Each time range has a start time, an end time and a Duration of a Time Slot value expressed in minutes.
  3. Click Add a Time Slot to combine several ranges within the same day, for example 60-minute time slots during the day, then 90-minute time slots in the evening.
  4. Tick Set different opening hours for each day of the week to configure each day separately.
Do you need longer time slots for matches? Add a dedicated time range with a suitable duration, or book those matches with a label spanning several consecutive time slots.

Allow free start times and durations

By default, users book within the pre-set time slots of each calendar. You can let them freely choose the start time and the duration of their booking:

  1. Go to AdministrationUsersAccess RightsSubscriptions.
  2. Open the relevant subscription plan, then the Permissions tab.
  3. Enable the Custom Time Slots option.
  4. In the advanced settings, set the interval between each time slot as well as the minimum and maximum booking durations, calendar by calendar if needed.

This setting is defined at subscription level, not at calendar level: you can therefore give competitive players more flexibility while keeping fixed time slots for the other plans, on the same courts.


Customise the appearance of the calendar

In the Settings tab:

  1. Fill in the Surface of the court.
  2. Choose the Situation: Outdoor or Indoor / Covered.
  3. In the Calendar Photo section, click Edit to add an image, for example a photo of the court or a sponsor's logo. The photo can only be added once the calendar has been created.

Limit the number of booking days

The Default number of days section of the Settings tab determines how far ahead users can view and book this calendar, for example booking up to D+7 but viewing up to D+14. The Display in the past option additionally allows past days to be viewed.

These limits do not apply to the organization's managers, who view and book without any date restriction. You can customise them per subscription plan with the Authorized Calendars & Number of Days for Booking option of the Permissions tab: the calendar value then acts as the default setting, and the subscription value takes precedence.


Display a message to users who book

In the Message tab, write a text specific to this calendar, then choose how it is displayed:

  • Display the message on the booking form: the text appears below the time of the selected time slot.
  • Display the message in a window: a window opens once the booking has been confirmed.

Both options can be combined. The message in a window suits instructions that must not be missed — access code, footwear rule, obligation to water a clay court; the message on the form suits contextual information, which is less imperative.


Synchronise calendars with each other

The Synchronized Calendars section of the Settings tab prevents a user from booking a time slot if it is already taken on a linked calendar. This is useful when one space overlaps another, for example a tennis court with several badminton courts marked out on it.

The situation also arises without physical overlap: an organization whose practice wall is located behind court 1 can link the two to prevent a wall session from disturbing a match.


Reorder, duplicate or close temporarily

  • To change the display order of the calendars, drag and drop the rows of the list using the Move handle. The order is saved automatically.
  • To create an identical court, open the calendar and click Duplicate.
  • To close a court during works or an off-season, enable the Temporary Closure section of the Settings tab: set the start and end dates, an optional comment, and tick Hide Completely to remove the calendar from the users' view. Only the organization's managers will continue to see it.

Adjust the display preferences

The Display Preferences button on the AdministrationSettingsBookingCalendars page brings together the visual settings shared by all calendars: Style of Calendars by Day, Labels style, Default Zoom, Booking Color, Available Time Slots, Display User Names, Display Photos, Display subscription colors, Weather Forecast, Proof of Receipt Printing and Colored Tabs.

These settings apply to the whole organization and to all calendars: this is where you decide, among other things, whether players can see the names of the other people who have booked — a choice that has as much to do with the organization's culture as with privacy.
