Inviting someone from outside the organization

Play with someone close to you who is not registered with the organization: add them as a guest when making your booking, within the rules set by your organization.


Adding a guest to a booking

You can invite an outside person in two ways, depending on whether you are playing only with your guests or also with other users of the organization.

Playing with your guests

  1. Click a free time slot to open the booking form.
  2. Choose Guest(s).
  3. Select the number of guests.
  4. Enter the guests' details if requested: depending on your organization's configuration, this is either optional or mandatory.
  5. Confirm with Book.

Playing with partners and guests

  1. Open the booking form and choose With a partner.
  2. Tick your partners in the list of users.
  3. A Guest(s) line then appears at the top of the list: tick it.
  4. Select the number of guests and enter their details if requested.
  5. Confirm with Book.

Some organizations do not offer a separate Guest(s) option: in that case, the guest line is always shown at the top of the With a partner list.


Understanding the cost of an invitation

Depending on your organization's configuration, invitations may be chargeable:

  • they are deducted from a balance of guest credits, which is separate from your booking credits;
  • some organizations deduct them directly from your booking credits instead;
  • the price may vary according to the calendar, the day or the time of the time slot.

The remaining balance is shown in the form when you book, and the Booking Cost box details what will be deducted. Depending on the configuration, either only the booking owner is charged for the guests, or each participant is charged for their own share.


Getting guest credits

If the organization has enabled this feature, a Purchase credits button is offered directly in the booking form; otherwise, contact the organization to obtain additional credits.

Your organization may also allow you to pay for the guest credits you are missing when you book: they are included in the amount shown on the Book button.


Knowing the limits set by your organization

Your organization can:

  • cap the number of guests per booking;
  • limit the number of invitations over a given period;
  • prohibit invitations on certain calendars, certain days or certain time ranges: a message then tells you so in the form;
  • restrict the cancellation of a booking with guests to certain cases.
