Booking as a manager

As the organization's manager, you have extra options on the booking form: book on behalf of a user, overwrite a time slot, book outside the quota, repeat a booking or turn off notifications.


Book on behalf of a user

  1. On the calendar, click a free time slot.
  2. In the Users tab, search for and select the player or players concerned. The filters and the My Favorites list speed up the search.
  3. If needed, add guests from outside the organization by entering their details.
  4. Confirm: the booking is saved in the name of the selected users.

The Partner search (open booking) option leaves the time slot open so that other users can join it.

By default, bookings made on behalf of a user are not subject to the rules of their subscription plan. To apply their quotas and credits even when a manager books for them, turn on the Enable Restrictions option in the booking tab of the profile concerned, in AdministrationUsersAccess RightsProfiles & Roles.

Using the manager options

Depending on your permissions, the Options button on the booking form expands several settings. When at least one of them is active, the button becomes More options: this is a visual reminder that an option is switched on, to be checked before you confirm a series of bookings.

  • Overwrite existing bookings: replaces (cancels) any booking already present on the time slot. Very useful for planning the season.
  • Do not count towards the quota: the booking does not count towards the user's quota.
  • Do not count credits: no booking credit or guest credit is deducted, handy for offering a free time slot.
  • Disable Notifications: no e-mail or push notification is sent to the participants.
  • Custom Color: applies a specific colour to the time slot on the calendar.
  • Print a supporting document: offers to print a receipt after confirmation, if the feature is enabled in the display preferences.
The overwrite option permanently cancels existing bookings on the time slot. Check the time slot concerned before confirming, especially when using a repeat.

Repeat a booking over several weeks

  1. On the booking form, open Repetition.
  2. Tick the days of the week to be repeated.
  3. Select how long the repeat should last, from the following week up to several months.
  4. Confirm: the booking is placed on every occurrence.

Combine the repeat with a label to plan a weekly class or a training session for the whole season.

Each occurrence remains an independent booking: cancelling one session does not cancel the others, and you can change a single time slot without affecting the series.
