Have users accept the internal rules

Make the booking of a time slot conditional on accepting a set of rules: safety instructions, the organization's charter, a liability statement, etc. The text is presented to the users concerned until they accept it.


Write and publish a set of rules

  1. Go to AdministrationSettingsBookingInternal Rules.
  2. Click New Rule.
  3. Choose the Subscription concerned: leave All Subscriptions (default) for rules shared by the whole organization, or select a specific subscription for rules dedicated to its subscribers.
  4. Enter the Title and write the content of the rules.
  5. Click Save.
A set of rules defined on a specific subscription replaces the default rules for the users of that subscription: it takes their place, it is not added to them. A single organization can only define one set of rules per subscription.

Make acceptance mandatory in order to book

Two options of the rules determine how they are applied:

  • Mandatory acceptance to book (enabled by default on creation): as long as the user has not accepted the rules, they cannot confirm a booking.
  • Extend to booking partners: a user who has not accepted the rules can then no longer be added as a partner on someone else's booking either.

Regardless of these options, the rules are in any case presented to the user concerned in a window to accept as soon as they next log in, like the organization's other legal documents.

If you clear Mandatory acceptance to book, the rules are still presented at login but no longer block booking: only use this option for an informative text that you do not want to make blocking.

Track acceptances

Open an existing set of rules, then go to its signatories tab: its title shows the number of acceptances, and the list gives, for each user, the date of acceptance and direct access to their profile.

It is this list that makes the rules an enforceable document: in the event of a dispute, you know who accepted what and on what date.


Update the rules

Edit the content at any time from the same form.

Every time you save the rules, the acceptances already given are reset — even if you have not changed anything in the text. The rules are then presented again to all the users concerned. Only open the form to view it, and only save if you really want to ask everyone for their agreement again.

Conversely, this reset is a useful tool: to have your safety instructions approved again at the start of each season, you simply need to save the rules once.
