Importing and Exporting Users

Build or update your database in just a few minutes: express entry, Excel/CSV file import with column matching, customisable export and ADOC synchronisation for French organizations.


Adding a few users on the fly

  1. Go to AdministrationUsersImport / ExportQuick Create.
  2. Fill in one row per user: last name, first name, e-mail, phone. Click Add a line if needed.
  3. Enable Send login credentials by e-mail to automatically deliver the login and password.
  4. Click Save.

Logins are generated according to your default password settings. The profile and Subscription assigned are those defined by default in the advanced settings — check them before your first entry, as they will apply to every account created afterwards.


Importing an Excel or CSV file

The import takes place in five steps, and you can go back to any screen:

  1. Drop your file (.xls, .xlsx or .csv) into AdministrationUsersImport / ExportImport a File.
  2. File Analysis: check that accents and dates are correctly interpreted. This is the moment to fix a badly encoded file, before the errors spread.
  3. Column Configuration: match each column to a field (Subscription, groups, licence, credits, custom fields, etc.). Detection is automatic based on the first row; untick the columns you do not want. Only the last name and first name are mandatory.
  4. Preview: warnings do not prevent the import, the cells concerned take the default value.
  5. Start the import, then review the row-by-row report: Added, Updated or Error, with the note Credentials sent where applicable. Download the report keeps a copy of it.

Understanding how the import avoids duplicates

Each row is matched against your database in this order: by login if your file contains that column, otherwise by last name and first name. When a match is found, an update is carried out; otherwise, an account is created.

Matching by last name and first name is sensitive to spelling: “Jean-Pierre Martin” and “Jean Pierre Martin” will create two accounts. Add a login column to your file whenever you update an existing database.

An import cannot modify a record that your profile does not allow you to manage: those rows appear as errors in the report and are not applied.

The login and password are generated automatically for new users, unless your file contains columns dedicated to these values.

Exporting your database

  1. Go to AdministrationUsersImport / ExportExport a File.
  2. Select and arrange the columns to export.
  3. If needed, narrow down the exported population with Filters: Subscription, profile, group, status.
  4. Click Preview, then Export (.xls) to download the file.

With Create a Template, save your column configuration to retrieve it in one click during a future export.

Create one template per use case: a “treasury” export with the Subscription and its payment status, a “federation” export with licences and rankings, a “contacts” export limited to contact details. Each one can then be run again without any reconfiguration.

Synchronising with ADOC (FFT)

French organizations affiliated to the FFT can synchronise their licence holders from AdministrationUsersImport / ExportADOC Sync (FFT), in two ways:

  • Direct connection: enter the affiliation number and your ADOC credentials, then click Log In.
  • File upload: drop in the export.xls file downloaded from ADOC.

Then match the ADOC packages to your Subscriptions, select the licence holders and click Sync. The Download the report button details the additions and updates carried out.

Matching ADOC packages with Subscriptions is the point to get right: it determines the Booking rights of the imported licence holders. Create your Subscriptions before the first synchronisation.


Automating data exchanges

Import and export cover one-off, manual needs. If your organization needs to keep its database continuously synchronised with another piece of software, the API exposes the same data programmatically — and also lets you create and modify accounts.
