Track bookings

The booking log lists every booking made in the organization — past, current and upcoming — with detailed filters and an Excel export.


View the booking log

  1. Go to AdministrationDashboardBookingBooking Log.
  2. Choose the period with Period: a preset period or custom dates.
  3. Use the tabs above the list to switch quickly between All, Users, With guest, Labels and Cancelled.
  4. Click a row to display the booking details.

A second row of tabs, on the right, narrows the list down to one calendar — or to a group of calendars if you have created any.


Choose which date the period applies to

In the Period menu, two options appear above the calendar: By Date Added and By Time Slot Date.

This setting does not only change the order of the list, it changes what the period selects:

  • By Time Slot Date answers the question “what was played this month?”. A booking entered in January for a time slot in March appears in March.
  • By Date Added answers the question “what was booked this month?”. The same booking appears in January.

On the Cancelled tabs, the list automatically switches to the cancellation date: you see cancellations in the order in which they occurred, which is the right reference point for handling a complaint.


Filter and sort precisely

The Filters button lets you refine your search: by booking type, by calendar or group of calendars, by user, by the manager who created the booking, by subscription or by label.

The type filter goes further than the tabs: it distinguishes bookings made By Users from those entered For Users by a manager, separates Labels (club) from Labels (users), and isolates Presence Check-ins, Not Checked-in or Automatic Cancel. bookings.

To check what a user has booked, combine the user filter with a wide period: you get their full history, including cancellations. The manager filter answers the opposite question: who, on the team, entered this series of bookings?

Your filters and display settings are remembered from one visit to the next.


Check in guests

The With guest tab only lists bookings that include at least one guest. Each row has a Check-in this guest pass button: one click marks it as checked in, a second click cancels it.

This is how you know, at the end of the month, which guest invitations actually took place — useful if your organization charges guests or limits their number.


Display upcoming bookings

Go to AdministrationDashboardBookingUpcoming Bookings: the list displays the next booked time slots, sorted in chronological order. Cancelled bookings are excluded.

This is the view to print or export the day before a busy weekend: it gives you the attendance sheet for the days ahead.


Adjust the display

The Settings button, to the right of the filters, offers several options:

  • Hide Cancellations to see only effective bookings.
  • Merge Bookings to group consecutive time slots from the same booking on a single row. Without this option, a three-hour booking takes up three rows.
  • Compact Mode and the density setting to display more rows on screen.

Export the list

  1. Apply your filters first: the export reproduces exactly the list displayed, with the same sort order.
  2. Click Export to Excel format (.xls), then Download (.xls) in the window that opens.
  3. If needed, enable Condensed Export in the settings for a more compact file.

The counter displayed next to the export button tells you how many rows will be exported.

A file cannot exceed 15,000 rows. Beyond that, split the export into several shorter periods.
