Schedule Time Slots by Period and Subscription

Advanced schedules determine, time slot by time slot, what is allowed or forbidden for booking according to periods (school holidays, term time, public holidays) and according to subscription plans.


Understanding the principle

A schedule is a grid covering all your calendars: every time slot of every day of the week is either allowed or forbidden. You create as many schedules as you need, then you assign them to your subscription plans, with dated periods if required. Each user is therefore subject to the schedule matching their subscription and the current date.


Creating a schedule

  1. Go to AdministrationSettingsBookingAdvanced Planning.
  2. Click New.
  3. Fill in the Name & Color field, for example the name of the group concerned.
  4. If needed, enter a Text on Forbidden Time Slots: it will be displayed on the calendars in place of the unavailable time slots (for example Unavailable, or the name of another entity).
  5. Click the cells of the grid to switch each time slot between allowed (green) and forbidden (red). You can also hold the click and drag to handle several time slots at once, or use Allow All and Deny All per day or per calendar.
  6. Click Save.

Assigning schedules to subscriptions and periods

  1. Go to AdministrationUsersAccess RightsSubscriptions.
  2. Open the plan concerned, then the Permissions tab.
  3. Enable the Advanced Planning option.
  4. Select the Default Planning, applied outside any dated period.
  5. Click Add a Schedule to link a different schedule to a dated period, for example the school holidays.
  6. Click Save.

This is how you manage seasonality: one schedule for term time, another for the holidays, each one activated automatically on its own dates. You prepare the whole year once, and nobody has to remember to open or close time slots on the first Monday back.


Choosing between a schedule and time slot closures

Both tools draw a grid of time slots, but they do not answer the same question.

  • The padlock used for time slot closures closes a time slot for everyone, with no notion of date or subscription.
  • An advanced schedule depends on who is looking and when: the same Tuesday 6 pm time slot can be open to competitive players, closed to recreational players, and open to everyone during the holidays.

Remember this simple rule: if the answer is the same for all your subscribers, use the padlock; if you need to distinguish between groups or periods, use a schedule.


Sharing your courts with another entity

Example: your courts are shared between the organization and the town council. Create an Organization schedule in which the time slots allocated to the town council are forbidden, with the text Town council on the time slots concerned. Assign it to your users' subscription plans: they immediately see which time slots are reserved for them, and who the others are allocated to.
