Close time slots and periods
Several tools let you close or hide time slots, an entire calendar or access to booking: choose the right one depending on the situation.
Choosing the right method
| Need | Solution |
|---|---|
| Block the same time slots every week, on a lasting basis | The padlock on the Close Time Slots page |
| Close a court over a dated period (works, off-season) | The Temporary Closure setting in the calendar's details |
| Prevent booking depending on the time of day (at night, for example) | The System Time Closures |
| Reserve certain courts for certain subscriptions or periods | The authorized calendars and the Advanced Planning of subscription plans |
| Block time slots occasionally (lessons, tournament) | A booking with a label, repeated if necessary |
Locking recurring time slots with the padlock
- Go to Administration›Settings›Booking›Close Time Slots.
- Open the calendar concerned: a grid shows the time slots for each day of the week.
- Tick the time slots to be closed and, if needed, enter a text to replace the word Closed.
- Use Close all time slots or Open all time slots to handle a whole day at once.
- Click Save.
Closed time slots appear in grey with a small padlock on the booking tables.
Closing a calendar over a dated period
To close a court from day A to day B, activate the Temporary Closure section in the calendar's details: start and end dates, optional comment, and the Hide Completely option to remove it from the users' view.
Restricting booking by time of day
- Go to Administration›Settings›Booking›System Time Closures.
- Activate Enable System Time Closures.
- For each day of the week, set the period during which booking is closed, for example from 10:00 pm to 8:00 am.
- Click Advanced Configuration to target specific subscriptions, calendars or time slots, and click Add a Closure to combine several rules.
- Click Save.
During the closure, users can log in and view the calendars, but cannot book. Organization managers are not affected. Advanced configuration lets you, for example, open the booking of weekend time slots only from 2:00 pm the day before, and only on the padel courts.
The Random delay for booking opening option gives each user a random delay of a few minutes at opening time, each day, so that everyone gets a chance to access the most sought-after time slots.
Reserving calendars for certain subscriptions
Each subscription plan defines the calendars it can access through the Authorized Calendars & Number of Days for Booking option of the Permissions tab, in Administration›Users›Access Rights›Subscriptions. For rules slot by slot depending on the period, use advanced planning.
Automatically cancelling incomplete bookings
When a user opens a booking to find a partner, you can have it cancelled automatically if it is not completed in time:
- Go to Administration›Settings›Booking›Automatic Cancellations.
- Activate Enable automatic cancellation of incomplete bookings.
- Set the two rules: the time before the start of the time slot from which an incomplete booking is cancelled, and the minimum time always left to the user after creation to find their partners.
- Choose the behaviour for bookings created too late to benefit from this minimum time: Allow booking without automatic cancellation — the member accepts the risk of playing alone — or Prohibit booking.
- Click Save.
A check takes place every minute: cancellation is therefore immediate as soon as the deadline is reached, and the freed time slot can be taken straight away.
A booking is considered open when the member books alone without choosing a partner, or when they book with partners and explicitly tick Find a Partner. In both cases, other members can then add their name to the time slot.
This feature relies on the option for opening and completing bookings, which can be configured in the Permissions tab of each subscription plan: without it, no booking is ever "incomplete" and the setting has no effect.
