PassPerso: personal access codes
Our own Access Control solution: it opens doors and controls lighting and heating using each user’s personal access code.
Overview
PassPerso is our Access Control solution, developed with Berry Automatisme and installed in more than 80 sports clubs. It is the only one of the four solutions designed and monitored by our teams: it was built from the start to work with your calendars, without an intermediate gateway.
A controller installed at the club stays permanently connected to your account. For each booking, it knows who is allowed to enter and at what times, without any action on your part.
Each user has their own access code, which they enter on a keypad at the entrance. For a court booked from 4:00 p.m. to 5:00 p.m., their code can, for example, open the court doors from 3:55 p.m. to 5:05 p.m., with the tolerance configurable.
What the solution provides day to day
- No distribution to organize: the code is created and sent to the user automatically when their account is opened.
- No retrieval to manage: a user placed in the trash sees their code stop working immediately.
- A secure main entrance over a time range of your choice, independently of bookings.
- Equipment and installation designed for your club, with support through to go-live.
- Access data sent to ADOC for clubs affiliated with the French Tennis Federation.
Open the player’s entire route
The same booking can open several successive access points: the main gate, the club house, the changing rooms, the showers, or a second court door that does not have a keypad. The player enters a single code and follows their route to the court.
The club house, changing rooms and gate can each be configured using one of two approaches: a fixed time range — for example Monday to Friday from 8:00 a.m. to 10:00 p.m. — or opening conditional on a booking in progress.
A keypad can also control a racket locker, to make equipment available with the same code as the booking.
Four types of codes for four situations
The personal code is specific to each user and only works on the courts they have booked, at the agreed times, with the tolerance defined before and after the time slot.
The Label code opens the doors of courts occupied by a Label booking — tennis school, training, camp — for players as well as for the supervisor, who can also use their personal code.
The free access code unlocks a door for an indefinite period, until the same code is entered again to close it. It is the code used by the caretaker or manager who opens the club for the day, or by the coach who leaves access open during their lesson.
The permanent code opens any door at any time.
These last three codes are delivered with a default value. Customize them as soon as the system is put into service, from the computer installed at the club.
What the installation includes
A programmable controller with relay outputs controls the keypads, electric strikes, lighting and heating. It communicates via serial link with a mini-computer that we provide, already equipped with our control software, tested and ready to plug in.
This computer is the only component that needs to be connected to the Internet. All connections are suitable: ADSL, cable, fiber or 4G. It regularly retrieves the bookings from your account and controls the controller accordingly.
The number of keypads does not necessarily follow the number of courts. An isolated court gets its own keypad; two courts that share the same gate only need one; a group of courts where each one has its own door needs the same number. This real configuration determines the equipment, not the number of courts in your schedule.
Activate the module and configure the codes
- Open Administration›Settings›Access Control & Piloting, then More Information on the PassPerso card.
- Activate the module.
- Activate With Access Codes.
Then set the code length (from 4 to 8 digits). The option Generate a unique access code for each user assigns each person their own code, instead of a shared code for the whole club: this is recommended, because an opening can then be linked to someone.
When the module is activated, a code is assigned all at once to all users already present in your database. You therefore do not need to catch up at startup, and each account created afterwards automatically receives its own code.
You do not have anything to distribute either. The code is sent to the user by e-mail when their account is created, together with their login details, then displayed on screen after each booking and included in confirmations sent by e-mail and SMS. Everyone can find it at any time from their account.
You can change a person’s code, or regenerate all codes at the start of the season, from user management.
Control lighting and heating
PassPerso does not just open the door: it prepares the court. Two trigger modes are available, to be chosen according to your usual practices.
In the mode linked to access codes, the court lighting and heating turn on when a player listed on the booking enters their code. Nothing is triggered if nobody comes, which avoids lighting a court that a player booked and then forgot.
In automatic mode, lighting and heating follow the bookings directly, for example from five minutes before the start of the time slot. This is the mode to choose when players need to find the court already lit when they arrive.
In both cases, switch-off is automatic a configurable number of minutes after the end of the booking.
View the access log
Each opening authorized by the system is recorded and timestamped in a file that can be read in a spreadsheet, on the hard drive of the computer installed at the club.
This is the trace to check in the event of a dispute — missing equipment, court found in disarray, door left open — because each entry is linked to the code that triggered it, and therefore to a person.
Monitor the unit connection
The software installed on the computer connected to the controller regularly retrieves bookings and controls door opening. The Connection Status block indicates the status of this link — Login Successful, Connection disrupted, Login Failed or Connection not established — and how long it has been since the information was refreshed.
A failed connection does not block configuration: you can activate the module and prepare the codes even before the installation is complete.
Activate Email Alerts to be notified without having to monitor this screen: enter up to four addresses, one per line, and the delay after which the alert is triggered (from 5 to 60 minutes of interruption). A second e-mail confirms that the connection has been restored.
Link access data to ADOC (FFT)
Clubs affiliated with the French Tennis Federation can send access data to ADOC.
- Activate Integration with ADOC (FFT).
- Enter the Club Code and Security Key provided by the federation.
- For each court, enter its Court Name and its Court ID on the ADOC side, then Add a court for the next line.
Court matching is essential: without it, access data is sent without knowing which court to attach it to.

Gathering these few details before the first exchange saves one back-and-forth:
- the number of courts and the number of doors giving access to them, indicating any gates shared by two courts;
- the shared access points to secure — club house, changing rooms, main gate — and, for each one, whether it should open over a fixed time range or only for a booking in progress;
- the courts on which you want to control lighting or heating, and whether a light sensor is useful;
- any equipment lockers to make available to players.
