User Groups

Sort your users into groups — tennis school, teams, volunteers, committees — to spot them at a glance in your lists, filter them and send them targeted messages.


Understanding what a group is for

A group is a free-form tag, independent of the profile and of the subscription. Where the subscription sets booking rights and the profile sets access rights, the group changes nothing about what the user can do: it only serves to identify them and find them again.

That is what makes it flexible. The same user can belong to several groups, and you can create as many as your organization needs, without any risk of side effects on booking rules.


Creating a group

  1. Go to AdministrationUsersGroups.
  2. Click New Group, then fill in Group Name and Group Color.
  3. Choose the Visibility: Public (users can see that they belong to this group) or Private.
  4. Click Save.

The colour is not decorative: it is what identifies the group at a glance in the user list and in the filters. Choose clearly different shades rather than five variations of blue.

Keep the Private mode for internal classifications your users do not need to know about: membership fee reminders, follow-up on a case, list of people to contact again.

The group list shows the number of members in each one. This is a useful check after a bulk operation: if a group that should contain thirty pupils shows two, the selection filter was not the one you thought it was.

Assigning a group to users

There are two ways to do this, depending on how many people are involved:

  • For a single user, open their record and fill in their groups in the Access Rights section.
  • For several users, select them in AdministrationUsersUser Management then use Quick Edit, which lets you Add or Remove a group for the whole selection in one operation.

File import can also fill in the groups: map a column of your spreadsheet to the groups field when configuring the columns.


Finding groups across the application

Once your groups are in place, they become a selection criterion in several modules:

  • in the user list, the Groups filter category restricts the display to one or more groups;
  • in file export, the same filters limit the population exported;
  • for a group message, filtering by group is the fastest way to target the right recipients.

Automatically assigning new registrations

Rather than sorting new accounts by hand, let online registration do it: the Add new subscribers to a group option, in the Sign Ups tab of a subscription, places every new registrant in the group or groups of your choice.

A "Tennis school" subscription then feeds the group of the same name all by itself, season after season.


Working with ADOC groups

Organizations synchronized with ADOC will see groups created automatically by the federation. A banner flags them on their record: their name and their membership are driven by the synchronization, and only the colour remains editable.

Do not try to correct them by hand, as the next synchronization would overwrite your changes. If you need a different classification, create a group of your own alongside them.
