A subscription that expires warns no one. The member keeps booking as if nothing had happened, then one morning the application says no — and you're the one they call, often on a Sunday.
You can now let OpenResa handle it. Three e-mails go out automatically before the end of each subscription, carrying your message and, whenever possible, a button to renew on the spot.
The option is already in place in your application. There is nothing to install.
A first reminder thirty days before the expiry date. A second one seven days before. A last one the day before.
Thirty days leave time to stop by the bank, to gather a medical certificate or to talk it over at home. Seven days wake up those who have put it off. The day before catches the last ones. Together, these three moments cover just about every way there is to forget a deadline.
Each e-mail states the subscription concerned, its end date and the number of days remaining. Nothing more: a member should understand in three seconds what is expected of them.
If your subscriptions are sold online, the e-mail carries a button leading straight to the renewal. The member pays, their subscription starts again, and you have nothing to re-enter.
If you have not activated payment and billing for your subscriptions (manual management), this button does not appear: we would rather promise nothing than send your members towards a closed door. That is precisely where your personalised message proves its worth. Explain there what to do, and you will spare yourself just as many phone calls.
The option is active by default on all your subscriptions. So there is nothing for you to do to benefit from it.
Go to Administration > Users > Subscriptions, open the subscription concerned, then in the General tab you will find the Automatic reminders before expiry option.
Below the enabled option, a text editor lets you add a few lines that will accompany the three e-mails.
This is the place to say what the application cannot guess: the date of the general meeting, the Saturday morning registration desk hours, the form to bring back signed...
