Group lessons & training sessions
Organise your group lessons and training sessions: book time slots for the whole year, accommodate large groups, avoid chain cancellations and use labels and annotations wisely.
Booking lesson time slots for the whole year
- From the booking calendars, click the first time slot of the lesson.
- Choose a label (for example "Tennis school"), then open the Repetition box to repeat the booking over several weeks, several days or several calendars.
- Use the options reserved for administrators: Do not count towards the quota, Disable Notifications and, if needed, Overwrite existing bookings.
Access to repetition is set in Administration›Users›Access Rights›Profiles & Roles with the Book with Repetition right.
Accommodating more players than a time slot allows
A booking holds a limited number of participants (the manager plus their partners or guests). For a large group lesson:
- In the calendar's settings, split the lesson period into shorter time slots: Add a Time Slot then reduce the Duration of a Time Slot (for example three 20-minute time slots within the hour).
- Book each time slot with the same label and part of the participants: visually, the full hour forms a single block bearing the name of the lesson.
Administrators with the Book with Repetition right can also freely adjust the start and end times of a booking, in order to place several successive bookings over the same period.
Preventing a cancellation from deleting the whole lesson
By default, a participant who cancels can cancel the entire booking. To prevent this:
- In Administration›Users›Access Rights›Subscriptions, open the students' subscription, Permissions tab.
- In the Advanced Settings of Booking Cancellations, enable The subscriber can only cancel their name.
- Only the booking manager (the teacher or administrator who created it) can then cancel the whole time slot; each student only removes their own participation.
Managing training bookings with a dedicated label
To let players book their own training or championship time slots, without opening up every label to them:
- In the subscription, Labels tab, enable Allow booking with labels.
- Select the label (for example "Championship") and the number of time slots allowed per user.
- Adjust the options to suit your needs: Ignore the quota and booking limits so that these time slots do not use up the quota, and Allow Consecutive Time Slots for long formats.
Indicating a priority without blocking the time slot
An annotation displays a message overlaid on time slots (for example "FREE IF FINE WEATHER" or "CLUB IF RAIN") without preventing booking. It is the ideal tool for indicating a flexible priority of use.
- Create your annotations in Administration›Settings›Booking›Labels & Annotations, Annotations tab.
- Grant the Book with an annotation right to the relevant profiles in Administration›Users›Access Rights›Profiles & Roles.
