Booking as a manager

As a manager of the organization, you have extra options on the booking form: book for a user, overwrite a time slot, book outside the quota, repeat a booking or turn off notifications.

Book for a user

  1. On the calendar, click a free time slot.
  2. In the Users tab, search for and select the players concerned. The filters and the My Favorites list speed up the search.
  3. If needed, add guests from outside the organization by entering their details.
  4. Confirm: the booking is saved in the name of the selected users.

The Partner search (open booking) option leaves the time slot open so that other users can join it.

By default, bookings made on behalf of a user are not subject to the rules of their subscription plan. To make their quotas and credits apply even when a manager books for them, enable the Enable Restrictions option in the booking tab of the profile concerned, in Administration›Users›Access Rights›Profiles & Roles.

Use the manager options

Depending on your permissions, the Options button on the booking form reveals several settings. When at least one of them is active, the button becomes More options: this is the visual reminder that an option is in use, to be checked before confirming a series of bookings.

  • Overwrite existing bookings: replaces (cancels) any booking already present on the time slot. Very useful for planning the season.
  • Do not count towards the quota: the booking does not count towards the user's quota.
  • Do not count credits: no booking credit or guest credit is debited, handy for offering a free time slot.
  • Disable Notifications: no e-mail or push notification is sent to the participants.
  • Custom Color: applies a specific colour to the time slot on the calendar.
  • Print a Receipt: offers to print a receipt after confirmation, if the function is enabled in the display preferences.
The overwrite option permanently cancels the existing bookings on the time slot. Check the time slot concerned before confirming, especially when using a repetition.

Repeat a booking over several weeks

  1. On the booking form, open Repetition.
  2. Tick the days of the week to repeat.
  3. Select the duration of the repetition, from the following week up to several months.
  4. Confirm: the booking is created on every occurrence.

Combine the repetition with a label to plan a weekly lesson or a training session throughout the season.

Using labels and annotations
Labels block time slots on behalf of the organization (training, school, tournament), whereas annotations display an overlaid message without preventing booking.
Profiles & roles
Profiles determine what each user can do in the application: view calendars, manage other users' bookings, and administer the club. The subscription defines booking rights. The profile defines access rights to features.

Each occurrence remains an independent booking: cancelling one session does not cancel the others, and you can modify a single time slot without affecting the series.

Organize a group lesson using sub-slots

To register more participants than a single time slot allows, split the lesson period into shorter sub-slots in the calendar's opening hours, then book each sub-slot for a group of users, using the repetition to cover the season. To free up a single session (for example if the teacher is away), cancel only the sub-slot concerned: the other occurrences remain in place.
Configure your calendars
A calendar represents a bookable court or space (court, track, room). Create one calendar per court, then define its opening hours, the time slot duration and its appearance.
Have users accept the internal rules
Make the booking of a time slot conditional on accepting a set of rules: safety instructions, the organization's charter, a liability statement, etc. The text is presented to the users concerned until they accept it.
